From OEM Spec to DDP Delivery: A Wholesaler's First Order with a Chinese Factory

A US wholesaler moved 12 SKUs of hang tags and color boxes from inquiry to door delivery in 6 weeks. Lessons on specs, artwork and communication that made it smooth.

The situation

A US wholesaler with 12 SKUs of apparel accessories needed custom hang tags and small color boxes — 120,000 pieces total — with a hard deadline before their peak season. It was their first direct order with a Chinese factory, previously arranged through a trading company.

How the order avoided the classic first-time mistakes

1. A complete specification sheet. Instead of “tags with our logo,” the buyer provided dimensions, paper type (300 gsm C1S), finish (matte lamination), hole position and color codes. This removed an entire round of clarification.

2. Proofs before tooling. The supplier shared structural die-line proofs and a digital color proof before cutting any dies. Two corrections were made on screen, not on metal.

3. Sampling on one SKU first. A single-SKU sample batch confirmed print and finish before the full run — catching a slight color shift in the brand gold that would have been expensive across 12 SKUs.

The timeline

Stage Duration
Inquiry + quotation 3 days
Sampling (1 SKU) 7 days
Mass production (12 SKUs) 21 days
DDP delivery to US warehouse 11 days

Six weeks from first email to receipt — with freight, duties and import taxes included in one door-to-door price.

The honest part

It worked because both sides invested in the specification. The single most valuable document was the spec sheet. A vague brief stretches every subsequent step: sampling, production and inspection.

Checklist for your first order

  • Complete spec sheet (dimensions, paper, finish, color codes)
  • Die-line and color proof approval in writing
  • One-SKU sample before mass production
  • A single DDP incoterm with all costs quoted
